This policy explains what personal information we collect when you ask us for a quote or use this website, what we do with it, and what rights you have over it.

Who we are

J&M Groundworks Ltd ("we", "us") is a limited company registered in England and Wales, trading as a driveway, groundworks and landscaping contractor from Mansfield, Nottinghamshire.

We are the data controller for the personal information described in this policy. You can reach us on 0345 548 2324 or at [email protected].

What we collect

We only ask for what we need to quote and carry out your work. Depending on how you contact us, that may include:

  • Your name, phone number and email address
  • The address or postcode of the property the work relates to
  • Details of the job — measurements, existing surface, access, photographs you send us
  • How you heard about us, so we know which of our listings are worth keeping
  • Correspondence between us, including WhatsApp messages, emails and notes from site visits
  • If analytics cookies are accepted: anonymised information about how you used this website

Why we use it, and our lawful basis

Under UK GDPR we must have a lawful basis for using your information. Ours are as follows.

Contract — to prepare a quote, order materials, schedule the work, carry it out and invoice you. Without this information we cannot do the job.

Legitimate interests — to keep a record of the work we've done at an address so we can honour the guarantee, and to respond if you contact us again later.

Legal obligation — to keep accounting records, and to submit dropped kerb applications to the county council where your job requires one.

Consent — for analytics cookies on this website, and for any marketing email you specifically opt into. You can withdraw consent at any time.

Who we share it with

We do not sell your data and we do not pass your details to other trades or lead-generation companies. We share information only where the job requires it:

  • Nottinghamshire County Council — for dropped kerb and highway licence applications
  • Material suppliers — delivery address only, so blocks and stone arrive at the right place
  • Our accountant and, where necessary, HMRC — for invoicing and tax records
  • Google — anonymised website analytics, but only if you accept analytics cookies
  • Utility companies — where a diversion is needed as part of your works

How long we keep it

Enquiries that don't turn into work are deleted after 12 months.

Records of completed work are kept for 11 years. This is deliberate: the five year guarantee needs the job record to be available for the whole of that period, and we keep it longer to cover the ordinary limitation period for claims.

Accounting records are kept for six years plus the current financial year, as required by law.

Cookies

This website sets one essential cookie, which remembers your cookie choice so we don't ask again on every page.

If you accept analytics cookies, we load Google Analytics to see which pages and services people find useful. Because our analytics is linked to Google's advertising products, we treat it as requiring your consent rather than relying on the first-party analytics exemption in the Data (Use and Access) Act 2025.

Nothing else is loaded unless you agree to it. Our cookie policy explains each cookie in full, and you can change your choice at any time using the Cookie settings link in the footer.

Your rights

Under UK data protection law you have the right to:

  • Ask what personal data we hold about you, and receive a copy of it
  • Have inaccurate information corrected
  • Ask us to delete your data, where we have no legal or contractual reason to keep it
  • Object to, or ask us to restrict, how we use your data
  • Withdraw consent for analytics cookies or marketing at any time
  • Ask for your data in a portable, machine-readable format

How we protect it

This website is served over HTTPS, so anything you send through the quote form is encrypted in transit.

Access to enquiries and job records is limited to the people who need it to do the work. We do not store card or bank details on this website — payment is arranged directly with you.

Complaints

If you're unhappy with how we've handled your information, please tell us first — email [email protected] and we'll look into it.

You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we change how we use personal data, we'll update this page and change the date at the top. Where the change is significant, we'll say so clearly rather than quietly amending the text.
